Before work takes place after closing, arrangements need to be made not only for the work itself, but also for access, security, key management, noise and odors, equipment shutdown, emergency contacts, and confirming that the premises are locked afterward.

Set safe store entry and exit procedures

In accordance with the rules set by the store manager and facility manager, decide how workers will enter, when entry is permitted, whether someone must be present, who will lock up when leaving, and who will deactivate and reset the security system. Do not carelessly include confidential information such as keys or access codes on public pages or in ordinary email; share it using a method approved internally.

When arranging work at multiple locations at the same time, list each location’s contact details, access requirements, and available work hours, and clarify who should be notified of changes.

Check the impact on business operations, equipment, and neighbors

We check in advance how the work may affect the store or building, including noise, odors, water and electricity use, kitchen equipment shutdowns, and protection and removal of items in shared areas. If the management company or building requires work applications or limits work hours, please also confirm who is responsible for approval and the deadline.

Whether night work is possible depends on the work required, location, access conditions, and worker availability. We don’t assume that work can be done just because a particular time is requested; we confirm this when preparing the estimate and coordinating the schedule.

Noise and vibration
Check work-hour restrictions and any impact on neighboring stores or residences and shared areas.
Water, Electricity, and Open Flames
Confirm with the facility which systems need to be shut down or used, who will operate them, and the procedure for confirming restoration.
Loading and unloading
Check the loading entrance, elevator, parking, protective covering, and waste storage location.
Completion check
Decide who will check that equipment has been restored, cleaning is complete, doors are locked, and security is set.

Standardize the information shared with the store after the work

Please discuss in advance the information store managers need to check, such as the areas where work was performed, work completed, the condition afterward, areas not serviced or requiring follow-up, and the status of equipment restoration. If you would like a photo report, please also confirm the areas to be photographed, how the photos will be shared, and how store information will be handled.

Deciding in advance when an emergency contact is needed at the end of the work, who will check the site the next morning, and whom to contact if an issue is found helps clarify the store handover.

How should we share key and security information?

Please share information with the necessary personnel using an approved secure method in accordance with your store or company’s information management rules. Do not include PINs or other access codes on public pages or in the body of general emails.
